How to print or download activation codes

Edline gives you several options for
distributing activation codes. You can decide whose activation
codes to print, how to organize them, and whether you want to
print them directly from the site or download them into another
software program. |
 |
To help you make these decisions, the "Print Activation
Codes..." button (accessible from three
places in the site) leads to a "wizard" that asks you
one question at a time. There are four basic steps in the
wizard. An overiew of each step is
described below. For more details follow the appropriate
links in each section. As you use the wizard, click the blue
Help button at the top of the page for step-by-step help.

REMEMBER:
There are two important things to keep in
mind when printing activation codes:

Edline will only print the
activation codes for people who have
not activated their accounts
yet.
|

If you are on the Modify District
Page or the Manage Users Page
for a district right now, you can
only print activation codes for
people who are in the district's
user list. To print activation codes
for the members of a particular
school in the district, you need to
go to that school first, then print
the activation codes.

Where do I go to print activation codes?
There are three places in Edline where you
can print activation codes: |

The Modify School (or District) Page.
Click the "Manage School" link in your Command
Center from the school (or district) home page. You
will find the "Print Activation Codes..." button in
the School Management section at the top of the
page. This option allows you to print activation
codes for any member of the school/district who has
not activated his account yet.

The Manage Users Page.
Click the "Manage Users" link in your Command Center
from the school (or district) home page. You will
find the "Print Activation Codes..." button below
the user list. This option allows you to print
activation codes for any member of the
school/district who has not activated his account
yet.

TIP: You
can click the "Manage Users" link in the
blue bar above the user list to get to the
bottom of the page quickly.

Any Modify Class Page.
Go to the home page for any class and click the
"Manage Class" link in your Command Center. You will
find the "Print Activation Codes..." button in the
Class Management section at the top of the page.
This option prints activation codes for the students
in this class and their parents only.
It does not print the teacher's activation code.

TIP:
Your teachers can print the activation codes
for their classes using this option.

The Four Basic Steps of the Activation Code

Step 1: Organizing the activation
codes
|
 |
Edline will first ask you how you want to organize the
activation codes. You can organize them in an
alphabetical list or grouped
by teacher and class. When grouping by teacher and
class, only student and parent activation codes are printed.

The option you choose here depends on whose activation codes
you are printing and how you want to distribute them. For
example, if you are printing teacher codes or mailing home
student and parent codes, then an alphabetical list is fine.
If you want to hand out student codes in class, however, you
may want to organize them by teacher and class.

NOTE:
You will see this step only if you
clicked the "Print Activation Codes..." button from
the Manage School/District Page or the
Manage Users Page. If you clicked this button
from a
Modify Class Page, you will skip this step and
start at Step 3. When printing
activation codes from the Modify Class Page,
the activation codes for the students in the class
(and their parents) are automatically printed in
alphabetical order.

Step 2: Choosing whose activation
codes to print
|

Edline will next ask you whose activation codes you want to
print. The options you see here depend on your answer to the
question in Step 1.

If you are organizing the activation codes
alphabetically...
You will see options for choosing the people
whose activation codes should be printed. You
can simply print eveyone, you can print people
who match specific criteria (e.g. all teachers
or someone with a particular last name, etc.),
or you can select specific people from a list of
users in your school. For details refer to the
help for the Choose Users Page of the
activation code wizard.

If you are organizing the activation codes
by teacher and class...
You will be asked to choose the teachers whose
classes you want to print activation codes for.
Activation codes for the students (and their
parents) in each of the selected teachers'
classes will be printed. For details refer to
the
help for the Choose Teachers Page of
the activation code wizard.

NOTE:
You will see this step only if you
clicked the "Print Activation Codes..." button from
the Manage School/District Page or the
Manage Users Page. If you clicked this button
from a
Modify Class Page, you will skip this step and
start at Step 3. When printing
activation codes from the Modify Class Page,
only the activation codes for the students in the
class (and their parents) can be printed.

Step 3: Grouping student and parent
activation codes
|
 |
|
Edline will next ask you whether to list the parents'
activation codes with their children's codes or list them
separately.
|

|
If you want to send one slip home with both the student and
parent activation codes on it, we recommend you choose the
option to group the parent codes with their children's
codes.
|
 |
|
If, however, you want to give students their activation
codes separately from their parents, we recommend you choose
the option to list them separately.
|
 |

Step 4: Choosing whether to print
or download the codes
|
 |
|
Edline will next ask you whether you want to display the
selected activation codes so they can be printed from the
site or so they can be downloaded into another software
program (e.g. to create mail merge letters).

|
When you choose to print the codes, they are displayed
nicely formatted and can be printed using your browser's
print option.
|
 |
|
If you choose to download the codes, they are displayed as
plain data that can be used by other software programs. You
simply select everything on the page, copy it, and paste it
into another software program (e.g. Excel).
